Family-file handover: blank checklist

Read the template below, then copy it into your own private note or download the text file. Fill in your copy, with the people involved.

No signup. There are no fields to fill in or submit on this page.

Choose one document or labeled envelope and one trusted adult. Use this checklist in your own private note. Set aside five minutes for a calm practice while the owner is present; stop sooner if either person wants to. Finding a gap is a useful result.

This is a lookup practice, not an emergency or an access test. Do not trigger a real emergency-access process, miss a real check-in, or call emergency services for practice. In an actual U.S. emergency, call 911.

Agree on the task

  • Practice date: [blank]
  • Owner and agreed helper: [blank]
  • Item to find: [blank]
  • What the owner agrees may be located, opened, or copied: [blank]
  • Starting note and agreed location: [blank]

Ask before starting. Use only places and records the owner has agreed to share, with access the helper already has permission to use. Finding an envelope does not mean its contents may be opened, photographed, copied, or sent. A no, or a smaller task, is fine.

Try the note and record the result

Let the helper follow the note before giving extra clues. Ask where they would look and what they expect to find. Stop at a lock, account, missing permission, or unclear instruction; do not guess credentials or open unrelated records.

  • Result: Found as agreed / Directions need work / Access needs checking
  • Where the helper got stuck: [blank]
  • One change to the directions: [blank]
  • Current item checked by the owner: Yes / Not yet

The owner checks that this is the intended current document. A successful lookup does not prove the helper may discuss an account, make decisions, or act for the owner.

Give the open question an owner

  • Unresolved permission or access question: [blank]
  • Who will check it, and by when: [blank]
  • Next practice or review date: [blank]

Update the location list or family file you already use. Keep a blocked or missing item marked unresolved. Tell the intended helper what changed and replace outdated copies. Try again only if both people want to, and review after a document moves, a helper changes, or an access arrangement changes.

Keep the completed note private

Leave out passwords, PINs, recovery codes, account numbers, card details, and Social Security numbers. Locations can be private too. Share the completed checklist only with the agreed people. Ask separately before photographing, copying, or sending a document.

This checklist does not grant access or legal authority. It checks only the item and permissions you actually tried; it does not certify the rest of your family’s plan. General organizing guidance for U.S. readers. This is not legal or financial advice.
